This policy explains how Riverpine Estates Limited ("Riverpine", "we", "us") collects, uses and protects personal data when you use our website, enquire about our services, or become a landlord, tenant, leaseholder or supplier client. We are the data controller for the information we hold about you.

Information we collect

  • Contact & identity data — name, address, email, telephone number and, where relevant, date of birth and identification documents for referencing and anti-money-laundering checks.
  • Tenancy & property data — property addresses, tenancy details, rent and payment records, deposit details, compliance certificates and correspondence.
  • Financial data — bank details for rent and supplier payments, and references where required.
  • Technical data — IP address, browser type and pages visited, collected through essential and analytics cookies (see our Cookie Policy below).

How and why we use it

We process personal data only where we have a lawful basis to do so:

  • Contract — to provide our management, lettings and related services to landlords, tenants and leaseholders.
  • Legal obligation — to meet our duties on deposit protection, right-to-rent, anti-money-laundering, tax and health & safety.
  • Legitimate interests — to manage properties efficiently, keep records, prevent fraud and respond to enquiries.
  • Consent — for optional marketing and non-essential cookies, which you may withdraw at any time.

Sharing your information

We share data only where necessary — with landlords or tenants as part of managing a tenancy, with contractors and certified engineers carrying out works or inspections, with referencing agencies, deposit schemes (DPS), local authorities, our client-money-protection provider, accountants, and where required by law. We never sell your personal data.

How long we keep it

We keep personal data only as long as necessary for the purpose it was collected and to meet legal and regulatory requirements — generally up to six years after the end of a tenancy or business relationship, and longer where the law requires.

Your rights

Under UK GDPR you have the right to access your data, to have inaccurate data corrected, to request erasure, to restrict or object to processing, and to data portability. To exercise any of these, email info@riverpine.co.uk. If you are unhappy with how we have handled your data you may complain to the ICO at ico.org.uk, though we ask that you contact us first so we can put things right.
